What is it?

The civil registry is a department of the municipality. The civil registry creates and keeps official documents of important events. These documents are called deeds. Examples of deeds:

  • birth certificate
  • marriage certificate
  • divorce certificate
  • death certificate

You can request a copy or excerpt of a deed from the municipality where the deed was created.

Copy or excerpt

A transcript is a copy of the deed with a stamp and signature of the registrar. An abstract contains only the personal information.

What to do.

You request a copy of the civil record from the municipality where the deed was made. When applying, clearly state what you need the transcript for.

You can arrange your statement online. For this you need DigiD. If you do not yet have a DigiD, you can apply for one via DigiD.

Types of transcripts

  • Birth: obtainable in the municipality where you were born.
  • Marriage: to be obtained in the municipality where you are married.
  • Divorce: to be obtained in the municipality where you are married.
  • Registered partnership: to be obtained in the municipality where you registered your partnership.
  • Dissolution of registered partnership: to be obtained in the municipality where the dissolution of the registered partnership was registered.
  • Death: to be obtained in the municipality where person died.

Personal pickup

You must make an appointment for this. Bring a valid ID with you to the appointment.

Authorize

You can authorize someone to pick up an extract from the municipality for you. The authorized person must be of age.

You must be able to provide the following documents for this purpose:

  • A letter in which you give permission to the authorized representative. This letter must be signed by you and the authorized representative.
  • Valid identification documents of you and the authorized representative.
